School Management Software Price in Pakistan
Pricing in this market is deliberately hard to compare. Vendors quote per student, per campus, per module or per year, and the cheapest headline number is often the most expensive outcome. This is how the pricing models actually work, what to budget, and which charges tend to appear after you have signed.
The three pricing models
Almost every quote you receive will be one of these.
- Per student, per month: looks cheap at 200 students and punishes you at 900. Your bill grows precisely as you succeed.
- Per campus, per month: a flat fee regardless of enrolment. Predictable, and growth is free.
- One-time licence plus annual maintenance: large upfront cost, and the maintenance fee is where the real pricing lives. Ask what happens if you stop paying it.
What to budget in 2026
For a cloud system with the full module set, a single-campus Pakistani school should expect somewhere in the range of PKR 5,000 to 15,000 per month, depending on model and inclusions. eSchools is priced per campus at PKR 6,000 per month on Starter, or PKR 5,000 per month billed annually, and PKR 9,000 per month on Growth, which adds AI plus bundled WhatsApp and SMS credits. Enterprise is custom for networks. Every plan includes unlimited students and staff.
The charges that appear later
The first quote is rarely the whole cost. Ask about each of these in writing before signing.
- Setup or implementation fee
- Data migration from your registers, spreadsheets or previous system
- Training, and whether it is a recorded video or an actual session
- Per-module charges for things you assumed were included, such as payroll or the LMS
- SMS and WhatsApp costs, which are a real per-message expense at any vendor
- Charges for additional admin users
- The cost of getting your own data out again
How to compare quotes honestly
Convert every quote to the same shape: total cost over three years, at the enrolment you expect in year three, including setup, migration, training and messaging. A per-student quote that beats a per-campus quote today frequently loses badly by year two. Then ask what the renewal price will be, because a low first-year price with an unbounded renewal is not a price, it is an option the vendor holds over you.
Cheap software is not the same as low cost
The largest line item in school administration is not the licence, it is staff hours. Software that saves an admissions clerk two hours a day pays for itself long before the invoice matters, and software that quietly costs two hours a day is expensive at any price.
Frequently asked questions
How much does school management software cost in Pakistan?
A cloud school management system for a single campus typically costs between PKR 5,000 and 15,000 per month in 2026, depending on the pricing model and what is included. eSchools starts at PKR 6,000 per campus per month, or PKR 5,000 per month billed annually, with unlimited students and staff and no setup fee.
Is per-student or per-campus pricing better?
Per-campus pricing is usually better for any school that intends to grow, because the bill stays flat as enrolment rises. Per-student pricing can be cheaper for a very small school, but it charges you more precisely as you succeed.
Should we pay monthly or annually?
Annual billing is typically around 17 percent cheaper per month, so it is worth it once you are confident in the vendor. Pay monthly for the first term while you are still evaluating, then switch.
